These checks solve many offline printer issues without replacing hardware or changing advanced settings.
Make sure the printer is turned on, awake, has paper, and shows no paper jam or ink warning on the display.
For wireless printers, connect the printer and computer or phone to the same home Wi-Fi network.
Cancel paused or failed print jobs. A blocked queue can make a ready printer look offline.
If the device cannot find the printer, remove the old entry and add the printer again from system settings.
Offline to online
When a printer says offline, the computer cannot communicate with it. The printer may still be powered on, but Windows or macOS may be using a paused queue, an old port, or the wrong printer entry.
Open Settings, go to Bluetooth & devices, select Printers & scanners, choose your printer, then check queue and online settings.
Open the print queue and remove options such as Pause Printing or Use Printer Offline when they are selected.
Power off both devices, unplug the printer for 30 seconds, reconnect it, and print a test page after both devices restart.
Wireless printer help
A solid Wi-Fi light means the printer sees the router, but your computer may still be using the wrong network route.
Confirm the device you print from is on the same Wi-Fi name as the printer. Guest networks and range extenders can block discovery.
Use the printer display or app to print a wireless report. Compare the IP address with the printer port on your computer.
Disable deep sleep temporarily, move the printer closer to the router, and reconnect Wi-Fi if the signal is weak.
If the old printer entry points to a stale address, remove it and add the printer again from device settings.
